2026 Kumeu Show Trade & Vendor Site Terms & Conditions

1. Applying for Your Site

Complete the Online Application Form to be considered for a Trade or Vendor Site. Applications open in September 2025, and allocations begin from the end of November 2025. You will be notified by email once your application has been reviewed.

All applicants must clearly outline the full range of products and/or services they intend to exhibit or sell. This ensures KAHS can maintain a balanced mix of exhibitors and avoid overrepresentation of similar offerings.

Please note: Applications are not a guaranteed entry. The Kumeu A & H Society (KAHS) reserves the right to decline applications to maintain diversity and balance across the Show.

Payment of site fees is due upon invoice to secure your site.

⚠️ Important: We do not have any power sites available for the 2026 Kumeu Show. All exhibitors must supply their own silent generator if power is required.


2. Site Categories & Fees

Note: Community Sites will only be allocated after careful consideration and approval by KAHS.

Additional tickets can be purchased online. Lost passes will not be replaced.


3. Key Timeline for Exhibitors

  • Start of September 2025: Applications for Trade and Vendor Sites open.

  • November 2025: Allocation of Trade and Vendor Sites begins.

  • Payments: Site fees are due upon invoice. Failure to pay may result in your site being reassigned.

  • Early 2026: Public ticket sales begin.

  • January/February 2026: Site Positioning (final site numbering and map placement) begins.

  • Sat 14 & Sun 15 March 2026: Event Days.


4. Site & On-Site Conduct

  • Exhibits must remain within site boundaries. Please order appropriate space.

  • All sites are outdoors and on grass. Site cover is the responsibility of the individual exhibitors.

  • KAHS reserves the right to request removal of displays that do not fit the allocated space.

  • Amplification is at the discretion of KAHS and must not disrupt neighbouring exhibitors.

  • All displays and pegs must remain within your boundary.

  • Exhibitors must supply all required site equipment.

  • Applications can be made to the Event Manager to use a silent generator.

  • All rubbish must be removed from sites.

Vehicles:

  • One vehicle per Trade Site may be parked within the site boundary before 8:00am and must not be moved or removed until after 5:30pm on Show days.

  • Vendor Sites must park safely within site boundaries.

  • Vehicles in thoroughfares or access ways after 8:00am may be towed at the owner’s expense.

Trading Hours:

  • Trade exhibits must remain open 8:30am – 5:00pm Saturday and 8:30am – 4:00pm Sunday.

  • Early pack-up is strictly prohibited.

Other Rules:

  • Strictly NO DOGS allowed on sites. A $500 fine applies if dogs are found.

  • No smoking or vaping is permitted inside any Showgrounds buildings. All exhibitors and attendees are strongly encouraged to smoke or vape only outside the event area to create a comfortable environment for all.

  • Any special requirements (e.g., generator, large vehicles, extra water, refrigeration) must be approved by the Event Manager in advance.


5. Food & Vendor Sites

  • All operators selling food or drink are classified as commercial food sites.

  • A copy of your current food operator’s license must be supplied, and the original displayed on your site during the Show.

  • If applicable, supply a copy of your electrical certificate.

  • Limited Food Vendor sites are available.

  • Fundraising-related food sales require approval from KAHS. Unauthorised sales may result in removal.

  • No carnival foods (e.g., candy floss, hot dogs) may be sold due to exclusive licensing.

  • All exhibitors must comply with current food trading regulations.


6. Power & Water

  • Exhibitors must supply their own silent generator if power is required.

  • Electrical equipment must meet safety standards and be appropriately tagged.

  • Cords, plugs, and fittings must be safe, secure, and out of pedestrian areas and away from water.

  • Water taps are available around the grounds.


7. Insurance & Liability

  • It is advised that all exhibitors hold current Public Liability Insurance (minimum $2 million recommended).

  • KAHS is not responsible for loss, theft, or damage to exhibitor property.

  • Insurance certificates may be requested before allocation confirmation for certain categories (e.g., Food Sites).


8. Health, Safety & Conduct

  • Exhibitors must comply with all applicable NZ health & safety regulations.

  • All tents, stalls, generators, and equipment must be safely installed.

  • Exhibitors are responsible for the safety of their staff and attendees within their site.


9. Photography & Marketing

  • The Kumeu Show may take photographs, video, or drone footage including exhibitor sites.

  • By participating, exhibitors consent to the use of images for promotional purposes.


10. Cancellation & Force Majeure

  • If the Kumeu Show is cancelled, application fees will be refunded minus a $100 administration fee.

  • The Society is not liable for additional compensation.

  • Exhibitors cancelling more than 14 days before the Event will be refunded less $100 admin fee.

  • No refunds will be issued for cancellations within 14 days of the Event.

  • This includes cancellations due to adverse weather, government restrictions, or other force majeure events.


11. Site Positioning

  • Site positioning (final numbering and map placement) begins early 2026.

  • Sites are only confirmed upon payment of site fees within one month of allocation.

  • KAHS reserves the right to change allocations without notice.


12. Amendments

KAHS reserves the right to amend these Terms & Conditions at any time. Non-compliance may result in refusal of entry or removal from the grounds.
